Director of Admissions (Part-Time)


(This part-time position may be combined with Coordinator of Community Development as a full-time position for qualified candidates)

The Director of Admissions reports to the Head of School and is responsible for implementing strategies related to JK-Grade 8 recruitment, admission, new student communications and engagement. The Director takes the lead in working with prospective families, applicants and future families at every stage of the admissions process. The Director collaborates with the Head of School and Board of Directors to develop marketing strategies to attract new families and works to attain the highest standards for external communications and to achieving brand consistency.


Responsibilities:

  • Develop marketing strategies to attract new families.
  • Meet with prospective families and support them through the admissions process.
  • Lead school tours; coordinate and execute all other recruitment events (e.g. Open Houses, Community Events for prospective families, Meet and Greet for new families).
  • Articulate a clear understanding of The Toronto Heschel School brand; liaise with school faculty to answer questions about the school’s philosophy and approach to learning.
  • Collaborate with school leadership to develop admission screening tools to identify appropriate candidates.
  • Manage relationships with prospective families using the school’s Admissions and Enrollment software.
  • Coordinate applicant student visits, on-site assessments, and intake interviews with parents.
  • Meet regularly with other members of the Admissions team to review candidate files, evaluate applicants according to the selection process, and review potential vacancies.
  • Collect and review teacher feedback regarding candidates’ school visits.
  • Collect and analyze data throughout the admission cycle in order to build and maintain a strong prospect and applicant pipeline.

  • Communicate with families regarding acceptance to the school.
  • Work with future families to ensure a smooth transition (sending appropriate forms, answering questions, connecting them with a “buddy” family).
  • Responsible for all communications to prospects, applicants and new families.
  • Act as liaison for new incoming families during the on-boarding process.
  • Update files and database information as required for all new enrollments, re-enrolling students, and student withdrawals.
  • Conduct exit interviews for families who withdraw from the school.
  • Ensure that all documentation, application information, and statistics are recorded in a timely and efficient manner.
  • Collaboratively manage and coordinate creation and update of web content.
  • Work collaboratively with school staff, Board members and external web support team to ensure ongoing improvement of website.
  • Work in close collaboration with the Marketing, Communications, and Community Development Coordinators.
  • Provide organization-wide e-communications support.
  • Some evening/weekend work.

Skills and Qualifications:

  • Undergraduate Degree
  • Experience supporting admissions in an educational setting
  • Familiarity with the Ontario Curriculum and an understanding of Jewish Education would be considered an asset.
  • Familiarity with database software.
  • Self-starter who can proactively identify opportunities to recruit new families.
  • Strong interpersonal skills and an ability to relate to students and their parents compassionately, and with discretion and respect for privacy.
  • Strong attention to detail and being well organized is required to efficiently and effectively manage multiple tasks and demands.
  • Collaborative team player who is flexible and self-motivated.
  • Strong written and oral communication skills.
